What is an On Demand Payment?

An On Demand payment is a payroll check or direct deposit issued by Payroll Services outside of the regularly scheduled On-Cycle payday for the Monthly and Semi-Monthly pay groups, which occurs three times per month. These payments are for earnings that were owed on a previous payday, but were not processed timely due to situations such as late processing/approval of jobs or timesheets.

On Demand payments are regular payroll checks which are distributed according to the employee’s regular payroll distribution (e.g., direct deposit) and issued according to the scheduled Off-Cycle calendar. In order for Payroll Services to process an On Demand payment on an Off-Cycle Payroll, a request must be made by authorized departmental personnel in accordance with the requirements reflected below.

Requirements

On Demand payments are only issued when regular earnings were missed and the employee is not able to wait for the next regularly scheduled payday to be paid for these earnings due to financial hardship.

Requests for On Demand payments must be sent by authorized departmental personnel in the Executive HR or Cost Center Manager roles via the electronic On Demand Payment Request Form. These submissions will be reviewed and responded to by Payroll staff, and are issued in accordance with the deadlines, pay periods, and paydays reflected in the Off-Cycle Payroll Calendar below.

Off-cycle payments are NOT* issued for the following and should not be requested:

• Payments under $50
• Supplemental pay if the employee has been paid his/her regular salary and wages. This includes but is not limited to: allowances, one-time payments, overtime, shift differential, on-call pay
• Pay differentials (e.g., due to retro compensation or scheduled weekly hours increases)
• Leave payments (e.g., vacation, floating holiday, holiday pay)
• For Relocation and Relocation Gross Up payments, please reach out to the Payment Team for guidance.

*These payments will process on the next applicable On Cycle payday for the employee’s pay group (monthly or semi-monthly) following final approval of the related business processes.

Off-Cycle Calendar

The Off-Cycle pay calendar for On Demand payments is applicable to retroactive payments that need to be outside of the regular On-Cycle payrolls for the monthly and semi-monthly Pay Groups.

On Demand payments are only issued in accordance with the Off-Cycle calendar reflected below.
